The Inbound Scheduling Coordinator plays a critical role in managing the timely and accurate scheduling and delivery of freight to multiple distribution facilities on both the East and West Coasts. This position requires research, analysis, and effective coordination between vendors, carriers, Burlington Buyers, and the Routing team. The goal is to maintain consistent volume flow across all distribution centers while ensuring the correct merchandise is received. The coordinator must also provide exceptional customer service internally and externally while meeting service level expectations.
A Day In The Life:
- Verify/Validate Deliveries: Review and validate all POs for delivery, addressing any discrepancies with the appropriate support team (e.g., East/West DC, Delivery Dates, PO Status).
- Appointment Scheduling: Use PO and merchandise attributes to determine the correct distribution facility and delivery date, taking into account building limitations, merchandise processing, and appointment types (LIVE vs DROP).
- System Input: Input and schedule inbound deliveries (including imports, non-merchandise, and supplies) into the Warehouse Management System (WMS), ensuring appointments, POs, carton counts, and comments are accurately recorded.
- Coordinate with Teams: Communicate special circumstances or instructions to appropriate teams and confirm appointment details with the requestor.
- Adjust Scheduling: Work closely with the Scheduling Specialist or Supervisor to balance workloads across distribution operations and reschedule appointments as needed based on production goals. Notify carriers of any changes.
- Manage Appointment Requests: Print and sort new appointment requests throughout the day. Respond promptly to phone calls and emails from internal and external partners, escalating critical issues to the Scheduling Specialist.
- Support Special Initiatives: Assist with the execution of Routing and Supply Chain initiatives, including managing “White Glove Vendors,” expedite POs, and special handling requests approved by upper management.
- Training and Reporting: Conduct refresher training for new associates after initial SOP training and generate daily scheduling reports to be distributed to internal Burlington teams.
